Privacy Policy

Better Call (“we”, “us”) operates an AI receptionist service that answers, transcribes, and routes inbound phone calls on behalf of trade contractors (the “Service”). This policy explains what we collect, why, how we store it, and your rights.
What we collect
- Contractor account data — name, business name, email, billing details, business phone number, on-call routing rules.
- Call data from inbound callers — caller phone number (CallerID), call audio recording, real-time and archived transcript, structured data extracted by the AI (caller name, address, reason for call, urgency).
- Service telemetry — call duration, latency, timestamps, error logs.
Why we collect it
- To deliver the Service: answer calls, route them, take messages.
- To produce the contractor's call log, transcript, and follow-up SMS to the caller.
- To improve the AI's call handling within the contractor's own account. We do notuse one contractor's call data to train models for another customer.
- To bill the contractor and comply with our legal obligations.
Call recording disclosure
Inbound calls are recorded and transcribed. The AI greeting informs the caller that the call is being recorded. If you are calling from a two-party-consent state (e.g., California, Florida, Pennsylvania) and do not consent, hang up before the greeting concludes.
Sub-processors
We use the following service providers to deliver the Service:
- Google Cloud (Cloud Run, Cloud SQL, Cloud Storage) — hosting and storage, US.
- Google Vertex AI (Gemini) — language-model inference, US/global.
- Vapi — real-time voice orchestration, US.
- Twilio — SMS and outbound voice, US.
These providers process data on our instructions and are bound by their own enterprise data-protection terms.
Retention
- Call audio recordings: retained 90 days, then deleted.
- Transcripts and call metadata: retained 24 months.
- Contractor account data: retained for the life of the account.
Your rights
Contractors and the individuals they serve can request access, correction, or deletion of personal data we hold by emailing privacy@bettercallapp.com. We will respond within 30 days.
Children
The Service is not directed to children under 13.
Changes
We will post any material changes here and notify contractor administrators by email at least 14 days before the change takes effect.
